We are seeking a versatile and highly organized Administrative Assistant to support various aspects of our operations. This role requires a proactive, resourceful individual with strong administrative, communication, and organizational skills to ensure smooth and efficient workflows across the company.

What will you be doing in this position?
- General Administration: Manage schedules, appointments, and communication channels to keep projects on track.
- Document Management: Organize, maintain, and retrieve project files, construction plans, contracts, and other essential documents.
- Communication Liaison: Serve as the primary point of contact for internal teams, clients, subcontractors, and vendors.
- Bid Preparation Support: Assist estimators in gathering documents, verifying requirements, and submitting proposals.
- Project Coordination: Track project timelines, deliverables, and ensure adherence to deadlines.
- Reporting: Prepare regular status reports, summaries, and presentations for management.
- Data Entry & Record Keeping: Accurately input and maintain data related to projects, estimates, and other relevant information.
- Procurement Assistance: Assist in sourcing materials, securing quotes, and processing purchase orders.
- Scheduling & Planning: Coordinate meetings, training sessions, and other company events.
- Problem-Solving: Address operational challenges with a can-do attitude, ensuring efficient resolutions.
What do we need from you?
- Education: High School Diploma or equivalent (Bachelor’s degree preferred but not required).
- Experience: Proven experience in administrative roles, preferably within the construction or related industry.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.) and project management software.
- Communication Skills: Excellent written and verbal communication skills.
- Organizational Skills: Highly organized with the ability to multitask and prioritize effectively.
- Attention to Detail: Strong accuracy and thoroughness in handling tasks and documentation.
- Problem-Solving Skills: Resourceful and adaptable when addressing challenges.
