Executive Assistant (QuickBooks Desktop Experience)

A boutique residential construction firm. The team is seeking a remote Executive Assistant to streamline day-to-day operations and bring structure to administrative workflows. What will you be doing in this position?

  • Contact subcontractors annually to collect updated insurance and workers’ comp certificates
  • Maintain subcontractor compliance logs and follow up on expirations
  • Organize and upload project receipts, categorizing them correctly in QuickBooks Desktop
  • Reconcile transactions and assist with cost allocation across job codes
  • Prepare expense reports and summaries for owners
  • Manage and prioritize email inboxes and project correspondence
  • Schedule meetings with clients and subcontractors, send calendar invites
  • Maintain digital files and organize project folders on internal drives
  • Update website content and photo galleries to reflect current projects
  • Draft and schedule social media posts to improve digital presence
  • Support owner with any special projects, including vendor research and product sourcing

What do we need from you?

  • Minimum 3 years experience as an Executive Assistant or similar role
  • Familiarity with residential construction processes and terminology
  • Expertise in QuickBooks Desktop (not QuickBooks Online)
  • Excellent organizational and follow-through skills
  • Strong written and verbal communication
  • Tech-savvy and capable of remote PC access
  • Proficient in Microsoft Office, Google Drive, and social media tools

Your typical workday and workweek…

Typical Work Day

  • Begin by reviewing emails, flagging action items, and responding to contractors
  • Follow up with subcontractors regarding compliance documentation
  • Enter and categorize receipts submitted via photo or scanned images
  • Coordinate owner’s calendar, schedule appointments, and update project logs
  • Use remote PC access to update QuickBooks and reconcile expenditures
  • Wrap up by uploading updated files to digital folders and preparing the next day’s priorities

Typical Work Week

  • 2–3 hours per day, 5 days a week
  • Focused on compliance follow-ups, bookkeeping support, communications, and light marketing
  • Additional hours may be required during invoicing periods or pre-construction planning
