What will you be doing in this position?
- Verify insurance coverage and patient eligibility prior to appointments
- Schedule and confirm patient appointments across multiple locations
- Upload documents and reports to electronic health record (EHR) portals
- Respond to patient inquiries via email and phone in both English and Spanish
- Maintain accurate patient records and ensure timely documentation
- Coordinate calendar availability for providers in various time zones
- Track and manage follow-up appointments and recurring patient visits
- Provide status updates on outstanding claims or insurance authorizations
- Liaise with providers to relay updates, questions, and scheduling changes
- Monitor communication channels and ensure timely follow-up
What do we need from you?
- 1+ year experience in healthcare administration or a medical office environment
- Fluent in English and Spanish (C2 level or equivalent)
- Experience with HIPAA-compliant platforms and protocols
- Familiarity with insurance verification processes (private insurance, Medicaid, etc.)
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- High attention to detail and comfort working with sensitive information
Your typical workday and workweek…
Typical Work Day
- Start by reviewing emails and patient inquiries
- Conduct insurance checks and update appointment statuses
- Coordinate with the provider for daily calendar adjustments
- Communicate with patients to confirm schedules or collect documents
- Upload visit reports and track documentation needs
Typical Work Week
- Approximately 20 hours/week, spread across 4–5 days
- Core hours aligned to Eastern Time, with flexibility based on provider travel
- Collaborative meetings as needed via Zoom or email
