We are seeking an Intake Specialist to manage every step of our intake process with professionalism and care. As the first point of contact for potential clients, you will play a critical role in ensuring they receive a welcoming, informative, and supportive introduction to our firm. This role requires strong communication skills, attention to detail, and a proactive approach to client engagement and follow-up.

What will you be doing in this position?
Client Screening & Qualification
- Conduct thorough initial screenings to determine if prospective clients align with our firm's services.
- Identify and screen out prospects who are not a good fit.
- Refer unqualified prospects to the appropriate referral contacts and maintain a record of referrals.
- Keep referral partners updated on the status of cases they have referred.
Consultation Management & Follow-Ups
- Schedule paid consultations and ensure payments are processed accurately.
- Diligently follow up with prospects who had a consultation but did not retain our services.
- Implement a structured follow-up process, reaching out at least seven times or until the prospect provides a clear "yes" or "no" decision.
CRM & Reporting
- Maintain detailed and organized records of all calls, client interactions, and follow-ups in the firm's CRM system.
- Generate weekly or monthly sales reports to track conversion rates and intake performance.
Client Experience & Process Improvement
- Ensure prospective clients have a smooth, professional, and empathetic intake experience.
- Regularly review recorded calls to identify areas for improvement in communication and conversion techniques.
- Develop and refine follow-up glide paths to enhance client engagement and conversion.
Administrative & Support Duties
- Serve as a receptionist to direct other inbound calls.
- Assist with other administrative tasks that support the intake and client onboarding process.
What do we need from you?
- Experience: Prior experience in client intake, sales, customer service, or legal support (preferably in a law firm setting).
- Communication Skills: Strong verbal and written communication skills with the ability to build rapport quickly.
- Sales & Follow-Up: Persistence in following up with prospective clients and guiding them through the intake process.
- Organization & Attention to Detail: Ability to multitask, manage appointments, and track multiple leads effectively.
- Tech-Savvy: Experience with CRM systems, scheduling software, and payment processing tools.
- Problem-Solving Ability: A proactive mindset with the ability to handle potential client concerns and objections.
- Confidentiality: Ability to manage sensitive client information with discretion and professionalism.
