The ideal candidate will be a detail-oriented professional with a strong background in project coordination and account management, capable of managing multiple tasks and ensuring that deadlines are met. You will act as the bridge between our internal teams and clients, ensuring smooth communication, timely updates, and exceptional service.

What will you be doing in this position?

  • Project Coordination:
    • Oversee all stages of project workflows on Monday.com, ensuring tasks are on track and deadlines are respected.
    • Monitor task progress across Creative Directors, Video Editors, and other team members.
    • Coordinate and follow up on client requests, including revisions, to ensure their needs are met promptly.
    • Relay actionable client feedback to Creative Directors and ensure implementation by the team.
  • Client Communication:
    • Serve as the main point of contact for clients throughout the project lifecycle.
    • Provide clients with timely updates on project statuses, including any delays or changes in schedules.
    • Proactively address client concerns and ensure high satisfaction levels.
  • Team Coordination:
    • Gather updates from internal teams, including Creative Directors, Creator Partnership Coordinators, and Post-Production teams, to relay accurate information to clients.
    • Escalate issues to relevant team members or management to ensure quick resolution.
    • Ensure that revisions and additional client requests are properly documented and actioned by the team.
  • Deadline Management:
    • Track and ensure all project deliverables meet specified deadlines.
    • Notify clients in advance if any delays occur, providing a clear explanation and revised timelines.
    • Hold internal teams accountable for their timelines and escalate any recurring issues.
  • Process Optimization:
    • Identify inefficiencies in project workflows and propose solutions to improve productivity.
    • Maintain up-to-date documentation of project processes and client communications.

What do we need from you?

  • Experience:
    • 3+ years in project coordination, account management, or operations management roles, preferably in a creative or marketing environment.
    • Experience working with tools like Monday.com or other project management platforms.
  • Skills:
    • Excellent organizational skills with the ability to manage multiple projects simultaneously.
    • Strong communication skills, both written and verbal, to liaise effectively with clients and internal teams.
    • Problem-solving mindset and proactive approach to challenges.
    • High attention to detail and commitment to meeting deadlines.
  • Soft Skills:
    • Ability to manage client relationships professionally, even under pressure.
    • Team player with a collaborative mindset.
    • Adaptable to fast-paced and dynamic environments.
  • Languages: Fluency in English is required; knowledge of additional languages such as Spanish or French is a plus.
