We are seeking a dedicated and proficient Sales and Administrative Assistant to support our client's administrative and sales efforts. This role is essential for managing incoming leads, performing outbound calls, and ensuring efficient follow-up through administrative tasks. The ideal candidate will have excellent English communication skills and the ability to balance administrative and sales duties effectively.

What will you be doing in this position?

  • Make outbound calls to leads to determine their interest in our services.
  • Extract leads from two platforms and compile them into an Excel spreadsheet or CRM for follow-up.
  • Provide administrative support, including organizing and updating lead information.
  • Maintain clear and professional communication with potential clients.
  • Assist in managing and tracking the sales pipeline.
  • Prepare and organize documents related to sales and administrative tasks.
  • Coordinate with team members to ensure smooth operation and follow-up processes.
  • Perform additional tasks as required to support the sales and administrative functions.
  • Tweaking LinkedIn messaging.
  • Responding to stats and adjusting messaging accordingly.

What do we need from you?

  • Strong command of the English language, both written and verbal.
  • Excellent communication skills, with the ability to conduct outbound calls effectively.
  • Highly organized with the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Excel and CRM software.
  • Demonstrated ability to work independently and take initiative.
  • Strong problem-solving skills and adaptability to changing priorities.
  • Previous experience in sales or administrative roles is preferred.
  • Being proactive when things don’t go according to plan.
  • Being adaptive when changes are needed.
  • Sharing ideas for changes.

What a typical week will be like…

Monday:

  • Review incoming leads and prioritize tasks for the week.
  • Make initial outbound calls to new leads.
  • Organize and update lead information in Excel or CRM.
  • Prepare materials needed for sales meetings.

Tuesday:

  • Continue outbound calling to leads.
  • Follow up with leads from previous contacts.
  • Assist with administrative tasks related to lead management.

Wednesday:

  • Mid-week check-in with the supervisor to adjust priorities as needed.
  • Extract new leads from platforms and update CRM.
  • Continue outbound calling and follow-up.

Thursday:

  • Perform administrative tasks (filing, organizing lead data, etc.).
  • Update the supervisor on the status of leads and tasks.
  • Schedule follow-up calls for the following week.

Friday:

  • Review the week's accomplishments and pending tasks. Address any urgent tasks.
  • Planning session for the next week.
  • Wrap up any loose ends.
